How Network Right Setup Scribe's Office in 3 Weeks

PROBLEM:

Due to rapid growth, Scribe needed to move from its 1,600 sq ft office to a new, larger 10,000 sq ft space in 3 weeks in San Francisco. The movers, furniture, and office snacks had all been figured out, but Scribe needed an IT partner fast to help facilitate critical IT pieces of the move to ensure the new space was ready for use as quickly as possible on a technology standpoint.

SOLUTION:

Scribe chose Network Right to be their IT partner to drive the technology design and implementation for their new office. It was critical to ensure that Network Right could deliver Scribe’s needs in a 3 week timespan, while designing technology infrastructure that made sense for a growing company. This project was broken down into 3 key areas:

Conference Rooms Setup

Scribe went from one conference room to four in their new space. With a team growing in headcount very quickly, it was ideal for Scribe’s teams to have multiple spaces for brainstorming sessions and meetings alike. The goal was to architect functional conference rooms that were easy to use and maintain, and had superb audio / visual quality on both ends.

The Network Right team took these needs and ran with it. Over the course of a few days, we mounted all televisions, equipped the rooms with the latest video conferencing technology, and ensured all cables and wires were hidden behind the walls or neatly organized for a clean aesthetic. 

To finish off the conference rooms, we provided end-user documentation using Scribe’s easy-to-use SOP platform to empower the client with the knowledge needed for optimal use of the new systems.

Office Network

Being that Scribe is compliant with several security standards, like SOC2 and GDPR, it was essential to create a robust network that was both fast and secure. Because most internet service providers (ISPs) can take 2-3 months to be installed and usable, we began by identifying suitable ISPs available in the building and negotiating favorable terms. 

In tandem, we identified the necessary network equipment, including a firewall, switches, and multiple access points (APs). After conducting a WiFi assessment, we installed and configured the network equipment and created a management portal for their team. We then optimized and tuned the WiFi network across the building to ensure no interruptions while moving around the office. Lastly, we ensured that all conference rooms had a stable, wired ethernet connection to create the best conferencing experience possible.

Podcast Room

The Podcast room is a dedicated spot for Scribe to create and record content with high quality audio and sound resistant to outside noises. Network Right installed several sound panels to help block out outside noises and help amplify the voices from within the room. After installation, we set up a high-quality audio system for use by the Scribe team.

Key achievements included:

Led IT efforts in getting the office up and running in 3-weeks. Scribe employees are able to collaborate in a functional space without any interruptions. 

Successful negotiation and installation of internet services of 1GB speeds in one week.  

Comprehensive, and fast network setup with robust security and management. Scribe employees are happy with how fast the internet is at the office and how reliable it is.

Installing fully operational audio-visual systems in all conference and podcast rooms within 3 days, enhancing collaboration and communication. The team was ecstatic about using each room to its full potential with its plug-and-play capabilities.

The project resulted in a fully functional office environment tailored to the client’s exact needs within their 3-week timeline.
